With our technical capabilities, the Medication Management Solutions (MMS) team are able to manage multiple systems and our operational capabilities enable us to have medications available when and where needed, reducing inefficiency and waste for nursing and pharmacy teams.

About the role

As Executive Assistant MMS EMEA, you will be responsible for performing a wide range of administrative activities in support of the assigned work team. May assist executives in budget preparation, record maintenance, projects and requirements in liaison with the Department, and generating reports regarding operations, personnel changes, etc. Uses company software to compile and generate reports, statistics, timelines, tables, graphs, correspondence and presentations. May craft processes to improve work flow. Serves as administrative liaison within and outside the company regarding administrative issues.

Main responsibilities will include:

  • Demonstrates depth and breadth of administrative knowledge and skills for an executive suite

  • Provides direct assistance to executive

  • Works independently on special assignments

  • Interacts with internal and external sources at senior levels

  • Prioritizes issues for executive review using knowledge of company and business

  • Maintains smooth operation of office when management is not available

  • Manages access to executive and executive schedules

  • Uses a range of technology to complete work in the most expedient way

  • Reviews reports and other data and compiles in executive review format

  • Align with confidentiality policies and procedures

  • Capability to handle confidential executive business matters

  • Designs procedures for appropriate access to information including confidential information

  • Provides information to others through various communication channels regarding business matters, processes and/or procedures

  • Uses company knowledge to assist others with office operations

  • Applies knowledge / skills to sophisticated problems; coordinates work beyond own area of expertise

  • Exercises judgment, based on experience, practices and precedents, to identify and tackle problems that arise with little or no precedent

  • Improves efficiency and controls costs within own work team

  • Encourages others through own passion and helps them understand how their individual contribution support work team's overall goals

  • Promotes collaboration by acknowledging the value of cultural differences and coaching others to consider these differences when communicating or making decisions

  • Strives for continued self development and encourages others to do the same

  • Organize International Meeting / Participates in the organization of International Meeting

  • Prepare and send out agendas, coordinate logistic, compile and distribute required documents and presentations

About you

  • High school diploma/GED required (advanced degree a plus)

  • Confirmed experience working as administrative assistant in related field preferred

  • Proficient in MS Office programs and Outlook

  • Ability to prioritize and handle multiple tasks while meeting deadlines

  • Excellent written and verbal communication skills in English and French (any other language would be a plus) and ability to communicate with people at all organization levels
