Job Description Summary

The central engineering Administrative Assistant assists and supports the central engineering team with a strong focus on training and project management support and internal communication.

The output is to ensure central engineering associates are rightly informed and have an easy access to all relevant central engineering communications (i.e.: latest news, training information and project reviews). This person will also support the training management leader in reviewing training curriculum and making sure central engineering associates have the right training assignments in BD learning management system. This role will contribute highly to building knowledgeable teams whose aim is to develop best-in-class industrialization throughout the organization.

The end goal is to have the central engineering working model understood and applicable training assigned to associates, thus supporting the central engineering team to achieve its objectives related to people development. This position will require working in a worldwide and multicultural context.

Responsibilities

Learning Management System support

  • Ensure the central engineering associates have the right Learning Curricula in the BD learning management system

  • Assign the right trainings to the right associates

  • Load training modules in the learning management system

Scheduling

  • Schedule capital projects stage gate review sessions and upload minutes to portfolio management tool

  • Coordinate and schedule the trainings based on the central engineering learning plan

  • Coordinate meetings and conference calls including logistics, agenda preparation, participant lists, and meeting minutes when required

  • Schedule face to face trainings including travels

  • Create and monitor virtual meetings using Microsoft Suite

  • Track attendees, share progress status and reports

  • Manage calendar appointments and coordinate travel arrangements as needed

Coordination

  • Gather all the central engineering data to update the central engineering guidelines on a regular basis

  • Build central engineering templates to bring harmonization and structure

  • Track key metrics such as spend under management, savings achieved, and adherence to policies/procedures

Communication

  • Maintain and update Intranet pages by gathering information from the different stakeholders

  • Upload all the documents and videos required

  • Communicate broadly on the central engineering news within BD using the different media

Orders & budget

  • Raise Purchase orders for engineering equipment and/or goods & services and track invoices

  • Support with budget tracking

  • Maintain vendor master data files including contact information, agreements, contracts, and other documentation related to supplier relationships

  • Collaborate with cross functional teams within the organization to provide guidance on purchasing procedures and practices

  • Ensure compliance with all applicable laws, regulations, corporate policies, and internal controls related to procurement activities

  • Perform additional duties as assigned

Required Skills/Knowledge:

  • Proficiency in both spoken and written English

  • Strong verbal and written communication skills.

  • Excellence in interpersonal communication across the organization

  • Demonstrated ability to successfully plan and organize complex activities.

  • Strong skills in organizing and thorough follow-up

  • Excellence in applications of Microsoft

  • Knowledge in building Internet or Intranet sites.

  • Works independently, but highly collaborative and results driven.

  • Comfortable in a complex and changing environment.

  • Happy to iterate, experiment and be curious.

  • Pro-active and ready to go the extra mile.

  • Desired experience with BD learning management system (C2C)

  • Able to act in multicultural environment and worldwide matrix organizations.

Education & Career:

  • Bachelor’s degree or equivalent experience preferred but not required

  • High School diploma or equivalent required

  • 2-3 years’ experience supporting a broad and complex organization including the internal communication activities.

  • Proven success in organizing multiple events.
