Summary:

Reporting directly to the Sr. Director WW Lab Specimen Management, provide marketing administrative support to the three Business Line leaders i.e. Sr. Director Lab Specimen Management , Senior Director Sample Acquisition, Director Emerging Platform as well as execute overall marketing functional support responsibility . Regularly deals handling marketing routine duties relevant to the daily operations of the Marketing organization. Exercises independent judgment in the interpretation of needs and establishes workload priorities to meet expected outcomes. Maintains a high degree of confidentiality in dealing with all correspondence, which may include unpatented ideas, invention disclosure information, personal associate information, strategic plans, as well as financial reporting, presentations, HR related materials etc. Works closely with the WWLT, management, and administrative staff.

Responsibilities:

  • Performs all administrative duties for the Marketing function including emails, letters and other materials. Prepares special PowerPoint presentations including graphs, charts and other high quality materials. Maintains personal computer skill levels with current technology used within the company.

  • Liaise and coordinates with internal and external stakehodlers within the marketing group i.e. creative , marketing insights, corporate communication, HEOR , pricing and other IDS marketing staff.

  • Liaise with vendors and providers such as Market research companies, business consultants and providers.

  • Vendor system management. Assisting with generating POs and invoicing

  • Maintains the calendars and scheduling for the three Business Line leaders . Uses good judgment in scheduling all meetings and other pertinent calendar events. Sends out appropriate notification/documentation to attendees. Coordinates/organizes various meetings including Regional/U.S./Plant budget meetings, performance/projection calls, team meetings, staff meetings, one-on-ones, town halls, etc. for the department.

  • Manages/processes expense reports for the Business Line Leaders

  • Coordinates all travel plans for Business Line Leaders. Also makes necessary arrangements for international travel including Visa applications and any other information needed when traveling abroad (i.e. medical information).

  • May prepare highly confidential business and technology proposals, patents and business plans ffor the marketing team.

  • Coordination/organization of marketing events and Business Line meetings. Schedules and coordinates all aspects of meetings as necessary. . Attendance at and participation in some of these meetings may be necessary as well.

  • Responsible for handling needs and concerns that may arise within the Marketing department such as computer related issues, corporate cards, maintain department supplies, new hires, etc. Coordinates orientation of new department hires to ensure training is obtained per department requirements.

  • Maintains office supplies including specialized products as required by the marketing team.
