The Senior Administrative Assistant will support the day-to-day operations of the BD Law Group and provide administrative support to attorneys and paralegals. This role is a member of a core group of administrative professionals who will be aligned to support specific practice groups and are also expected to support any member of the Law Group who requires administrative assistance.
This is a hybrid role with flexibility to work 3 days weekly on site in Franklin Lakes, NJ and remotely the remaining days weekly.
Responsibilities include providing direct support to attorneys and paralegals in the Law Group in an administrative capacity as an assistant and a liaison among a number of internal groups and services.
Inputs changes to complex documents (such as contracts), prepares correspondence, memoranda, advanced PowerPoint presentations, spreadsheets and other documents.
Responsible for accurately and confidentially handling correspondence, reports, financial documents and related material.
Provides a variety of administrative activities requiring knowledge of the organization’s systems and procedures.
Possesses a basic knowledge of the organization and/or disciplines supported, budget and planning processes, training methods, and business practices.
Proactively creates, organizes and maintains electronic and paper files.
Proactively manages complex calendars with competing priorities to keep team abreast of meetings and tasks.
Schedules business travel and accommodations, including air, hotel, car, currency, passports, visas, etc.; reconciles and maintains expense reports
Manages IT desktop needs, including ordering IT hardware and peripherals, and ensures appropriate system access and software needs are met
Supports onboarding of new Law Group members, including preparation of workspace and security access; maintains onboarding calendar
Processes incoming and outgoing mail; monitors email communication for appointments and commitments; orders office supplies
Processes incoming calls, determines level of importance and urgency and escalates appropriately
Handles all administrative matters related to meetings, including maintaining membership/distribution lists, booking meeting rooms, preparing meeting materials, arranging catering, gathering supplies, ensuring room is equipped appropriately, etc.
In addition to daily responsibilities, works independently or in a team to plan, organize and complete a variety of non-recurring and ongoing projects assigned by the staff, including but not limited to: special reports, spreadsheets, presentations, strategic plans, and data manipulation.
Handles/forwards/delegates routine requests obtained through email, mail or telephone.
Performs notary duties as needed.
Position Requirements :
Self-starter with the desire and ability to take initiative; ability to learn quickly
Strong interpersonal and telephone skills.
Strong written and oral communication skills and the ability to interact with all levels of associates.
Strong computer skills including all Microsoft Office applications: Outlook, Word, Teams, Styles formatting, Excel and PowerPoint.
Able to quickly and effectively modify work priorities to meet unexpected and sometimes competing deadlines.
Pro-active, well-organized and conscientious; exercises good judgment.
Strict attention to detail and follow-through is critical.
Strong analytical and problem-solving abilities.
Must have the desire to continually learn
Uphold strict level of confidentiality
Must be able to identify and resolve problems and requests in a proactive and timely manner
Flexible and a dedicated team player, provide back-up support and work overtime as needed.
Must have the desire and ability to handle matters independently and with self-confidence.
Experience with Legal Tracker and iManage document management system preferred
High school graduate with at least seven (7) years of progressive legal administrative experience is required. Secretarial and/or secondary education is preferred.
