In order to keep delivering these innovative solutions, one of our EMA regional business directors will need the support of an outstanding executive assistant. This is an upward mobile position with great scope for progression and development.

General role

Administrative support to the MDS EMA regional business director

Main responsibilities

Support to the MDS EMA regional business director.

  • Day to day coordination and interaction within MDS EMA Leadership team and other contributors.

  • Manage calendar and weekly reviews: find available slots, send & accept invitations, deal with conflicts. Communicate information to the team when applicable.

  • Organize day to day meetings: make sure invitees are available and prepared for the meeting, reserve a room, send invitations, order breaks and reserve appropriate resources.

  • Organize MDS EMA events and meetings (i.e. off-sites & on-sites meetings including MDS EMA LT meetings).

  • Participate in MDS EMA LT agenda setting.

  • Organize business trips for MDS EMA regional business director: support preparing agenda and coordinating with host plant, take care of the transportation & accommodation, take care of the visa request when applicable.

  • Prepare & welcome external visitors (clients, suppliers, candidates & BD other sites associates).

  • Enter monthly expense notes for MDS EMA regional business director: collect the receipts, follow-up the approvals.

  • Register and follow-up the purchase orders to pay).

  • Support EMA regional business director with HR process: PMP (Performance Management Process), recruitment process (ex: candidate agenda set-up), induction plans

  • Support in preparation of powerpoint presentations: from standard presentations, from notes, if needed

Required skills

The ideal candidate would have worked in a similar position/environment (international company).

Possess strong organizational & relational skills, a great deal of energy and could manage at times, heavy workloads. Travel requested 2, 3 times a year.

You will need to be a self-starter who will act in a discreet at maintain confidentiality at all times!
