Job Description Summary

We are looking for a polished, detail-oriented Executive Assistant who thrives in a fast-paced environment. You'll provide dedicated administrative assistance to the VP of Marketing, working closely with the Marketing leadership and team members who are spread across different offices around the globe. You will be the go-to resource for the team on processes, procedures, and help escalate urgent matters, all while keeping a good pulse on the organization's health and morale. You will also serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the Global Marketing division; organize and coordinates meetings and external relations efforts; and oversees ad hoc special projects.

Job Description

Responsibilities

  • Provide support to the executive and possibly support to the team

  • Schedule VP appointments, meetings, and maintain complex and changing calendars working through scheduling roadblocks

  • Responsible for Travel arrangement end to end (Booking, Visa, French Insurance…). Develop itineraries and agendas including scheduling flights, arranging other transportation and book accommodations. Compile, prepare and process VP expenses and credit card reconciliation where needed

  • Manage end to end vendor’s procurement process for Global Marketing team (Supplier creation, Purchase orders…). Track budget related to POs and vendors activities

  • Assist internal department with the setup of new hires. Coordinates cubical space planning for incoming new hires on marketing floor. Assist new hires with processes including expense and travel systems and other internal processes and tools. Manage SOFIT application user access

  • Key liaison for the organization to ensure preparation for meetings and events run smoothly. Meeting planning includes anticipating materials needed for meeting as well as preparation for internal/external meetings

  • Manage and update mailing lists and Global Marketing internal team events (quarterly, annual offsite etc.)

  • Provide routine administrative support such as copying, faxing, scanning, organizing and filing confidential files and records systems of the organization. Ensure office supplies and equipment are available

  • Use political savvy and sophistication to filter through and facilitate actionable items

  • Plan, coordinate and organize special projects, such as communication agencies relationship, internal newsletters, events organization, SharePoint super-user)

Skills requirements

Must be competent in performing tasks with minimal direction and willingness to handle a wide variety of situations, as well as competing priorities, in a timely and efficient manner, while maintaining a great attitude

  • Highly organized with exceptional communication skills: fully capable to take initiative, manage and oversee variety of projects with minimal direction. Highly proactive, detailed and deadline oriented, self-motivated, adaptive and creative

  • Organizational and Time Management: Candidate must have outstanding time management and organizational skills, relying on expertise and sound judgment to plan and accomplish goals. Be a multitasker, able to keep herself organized to give his/her attention to keeping his/her boss/team organized

  • Written Expression: being able to assist his/her boss as well as a wide range of people internally or externally with quality communications in English and French

  • Technology skills: being proficient in spreadsheet management, Word and PowerPoint processing, Lotus Notes and Outlook processing as well as Sharepoint, Internet and SAP

  • Communication skills: using positive and upbeat can-do attitude and communication to interact with a wide range of people internally and externally. Must be strong team player

  • Problem-Solving decision making and adaptability skills: being able to adapt and quickly react when unexpected obligations turn up

  • Flexible with time and schedule, eager to take on new responsibilities, demonstrate initiative and self-discipline

  • Manage confidentiality, discretion and work ethics

  • Fluent in English

Experience

  • A minimum of 5 years of experiences as an Executive Assistant supporting Vice President or above in a demanding and fast international work environment
