The Payroll Specialist US/Puerto Rico works as a key team member within the North America payroll team to manage the biweekly payroll including on and off cycle payroll, payroll tax, garnishments, software operations, vendor and supplier interfaces and other technical and non-technical issues in North America (Canada, US and Puerto Rico). Will liaise with outside payroll system vendor(s) to address client needs and service level impacts. Reports to the Payroll Operations Manager.

Main Reponsibilities

  • Drives key outcomes in delivering an effective and efficient payroll cycle across multi state and multi company payrolls

  • Drives the successful administration of outsourced payroll

  • Collaborates across teams to ensure all data loads are managed timely to execute an efficient biweekly payroll schedule

  • Runs and analyzes biweekly pay reports and resolves variances

  • Evaluates payroll process and payroll schedule to enhance processing through continuous improvement

  • Builds standard operating instructions to maintain consistency in payroll process

  • Provides compensation analysis for W2 and W2c’s

  • Plans and performs key year-end processes

  • Monitors and manages Retirement Eligibility files

  • Analyzes, processes and reconciles transactions related to Long Term Incentive (LTI) Plan

  • Supports quarterly relocation analysis and processing

  • Manages off-cycle payroll requests

  • Ensures compliance with all audit, compliance, SOX, and general financial controls

  • Identifies and implements continuous improvement opportunities

  • Resolves customer inquiries and escalated cases in an efficient manner

  • Other duties as assigned

Position qualifications/requirements


  • BA/BS in Business, HR or Accounting required. An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education listed above.


  • Minimum 4 years dedicated Payroll experience with a large company of 5,000 employees or more; strongly prefer experience in SAP and interfaces with external Payroll vendors

  • Multi-state payroll experience with understanding of state specific employee tax withholdings

  • Knowledge of payroll policy and practice across US, Puerto Rico and Canada; experience in process documentation and improvement

  • Knowledge and understanding of payroll practices and principles

  • Demonstrated ability to maintain confidentiality of information

  • Ability to perform work with accuracy and attention to detail

  • Strong mathematical skills with ability to research, analyze, and correct time and payroll data

  • Ability to communicate in a precise and clear manner

  • Strong interpersonal skills; able to develop and maintain effective working relationships with all levels of internal/external contacts

  • Self-motivated, ability to work independently and self-manage

Knowledge and Skills

  • Required: Microsoft Office Suite with an emphasis in Excel and Word, including advanced proficiency; enterprise HRIS (preferably SAP) with interface to external payroll vendor such as ADP, Kronos, Enterprise eTime

  • CPP or FPC preferred
