Job Description Summary

The Executive Assistant for Research and Development provides organizational and executive administrative support to the Worldwide Vice President of R&D for BD Biosciences. This is a participative, hands-on role that also includes complex administrative responsibilities. This highly visible position serves as the primary administrative liaison with members of senior R&D management, external partners and their assistants.

The Executive Assistant will work independently under strict deadlines, will manage competing priorities, and handle multiple tasks efficiently. The ideal candidate is unflappable and able to prioritize and streamline processes, can use initiative and good judgment, work independently with little supervision, while always exhibiting a high level of professionalism, confidentiality and discretion.

Key Responsibilities

  • Provides support and contributes to organizational efficiency.

  • Independently and proactively coordinates the agenda’s / meetings / logistics for meetings, in house as well as off site, globally.

  • Maintains and creates networks and relationships, both locally and globally.

  • Responsible for calendar management, requiring interaction with both internal and external executives and assistants.

  • Maintains detailed calendars for their client(s).

  • Creates/updates files using MS Office and other standard productivity tools

  • Assembles, compiles and maintains data for regularly scheduled reports and presentations and ad hoc projects.

  • Schedules business travel and accommodations domestically and internationally.

  • Reconciles and maintains expense reports. Reconcile and submit bills for payment via Concur/SAP.

  • Organizes, coordinates and attends staff meetings, as requested, to document all pertinent information either electronically onto a laptop, on flip charts or other forms of note taking

  • Creates high quality PowerPoint presentations and Excel spreadsheets and maintains organizational charts.

  • Handles and coordinates matters related to Town Halls, Leadership meetings, and other employee and site events.

  • Strong service mentality to enable the BDB R&D to drive better efficiency and effectiveness.

  • As a member of the Executive Administrative team, will also serve as back up for other executives.

  • Create and manage Purchase Orders for client teams.

  • Create and manage CDA’s and other business documents.

  • Manage the R&D Patent Award Program.

  • Analyze R&D Administrative Teams workload and make recommendations for optimal balance.

  • Organizes events within the scope of the event. Collaborate with vendors, site selection, manage interfaces and budget.

Education

  • Minimum of a High School Diploma with equivalent work experience required.

  • College degree preferred.

Experience

  • 8+ years’ experience working as an Administrative Assistant; minimum 3 years working at the Executive Assistant level.

  • Experience supporting multiple leaders in a multi-functional, multi-national, matrixed, fast-paced environment, preferably at a progressively responsible and/or corporate level.

  • Integrity and discretion in dealing with confidential matters. Ability to protect sensitive and confidential information is crucial. Position handles highly confidential information on a regular basis.

  • Ability to use independent judgment to determine what requires priority attention, escalation, and directing to the appropriate team member for response or resolution. Work independently under time constraints, manage competing, complex priorities and deadlines, and handle a multitude of tasks efficiently.

  • Ability to anticipate needs and being resourceful in delivering tasks; effectively leverage available resources.

  • High attention to detail and accuracy (proofreading/formatting).

  • Strong communication and interpersonal skills, given the significant contact with senior management and external contacts.

  • Event planning skills and experience.

  • Proficient with SAP, Workday and Concur.

  • Excel capability with knowledge of formulas.

  • Expertise in PowerPoint; very skilled at the creation/maintenance of org. charts and presentations.

  • Proficiency in Outlook or similar email/calendaring tool preferred.

  • Proficiency in SAP, BuySmart, Workday, and Concur preferred.

  • Strong customer service focus, highly organized, responsible, and detail oriented.

  • Ability to gather and analyze information skillfully.

  • Proven track record to work well in a team-oriented environment.

  • Demonstrated ability to communicate and exchange information clearly and concisely.
