The Installation Specialist is responsible for overseeing and executing against new instrument installations, instrument removals, instrument swaps, and moves. The Installation Specialist works across BD Contracting and Financial teams to insure pricing and contract language is correct. Additionally, the Installation Specialist manages the distribution channels through freight services, BD Purchasing, BD Field Application, and BD Field Engineering specialists to insure a timely and accurate delivery that aligns with customer needs.

Key to the success of this position is managing accurate installation data (costs, delivery dates, BOM’s, etc) in accordance with the customer contract and Lotus Notes. Critical to the success is insuring the data is proper transposed to SAP while being able to partner cross functionally and provide influence to successfully execute against installation priorities. Where applicable, accurate credits/debits will be processed in a timely manner while confirming with various key stakeholders across the Contract and Financial teams.

You will be required to work independently and cross functionally both internally and externally. These responsibilities include personal due diligence and a proactive approach to problem solving while delivering customer centered solutions.

Overall, the Installation Specialist will be responsible for the high value placement and coordination of medical device equipment. While transferring and coordinating the installation(s) across US Field personnel, Transportation, Purchasing, and Contracts it is imperative that the process is seamless to our customer while insuring business practices are adhered to.

DUTIES AND RESPONSIBILITIES :

  • Input orders into SAP 6.0 for instruments, accessories, reagents and training material (if required)

  • Responsible for accuracy of pricing, order type, and order reason by conferring with the original purchase order

  • Includes credit memos and debit memos as needed

  • Work closely with the Planning department on inventory management

  • Work closely with Marketing on any equipment updates and prioritization of backlogged instruments

  • Maintain all install information including serial numbers in the Lotus Notes instrument order database

  • Schedule install directly with customer, which includes managing resources with Field Service Engineers and Application Specialists

  • Coordinate the release of orders to the distribution center and transportation teams while effectively communicating across the business for released customer installations.

  • Respond to inquiries for delivery status, inventory status, order status, etc.

  • Coordinate all clinical trial installs and emergency replacement installations

  • Coordinate instrument removals, moves, and used instrument (RMA) returns

  • As needed, host weekly install conference call with Regional Service Managers and Application Specialist Managers

  • Create all installation tickets in SAP 6.0

  • Maintain/update dispatch scheduling database for all installations, removals, and moves

  • Responsible for shipping all consumables required for Field engineer installation, training, Quality (QC), and validation based on Maximum Qty Allowed. Responsible for following up with Sales, Field Engineer and/or Application Specialist if order not received.

  • Verify and confirm any equipment issues by working with Sales Reps, Contracts, Field Engineers and/or Application Specialists by reviewing available resources to include model, preapprovals, agreements, preinstall documents, needs assessments and purchase orders.

  • Responsible for knowing what equipment is required for new installs, add-on, upgrades etc. and should proceed accordingly

  • Work to update instrument orders and equipment changes for Field Engineer, and Application Specialists. As the Installation Specialist is the point person for what an install requires, it is their responsibility to advise Contracts when equipment needs to be updated. Likewise, they should work with Sales to ensure SAP sales BOM’s are correct.

KNOWLEDGE AND SKILLS:

  • Proficient in SAP 6.0, Microsoft Outlook, Excel, Lotus Notes

  • Knowledge of Purchasing, Finance & Distribution within a Capital distribution/contracts setting

  • Strong understanding of the sales process involving capital equipment

  • Must possess an extreme attention to detail and strong communication skills

  • Ability to multi-task with flexibility to change priorities daily

  • Strong organizational skills with proven success.

  • Effective communications across all levels of the organization

  • Proven ability to partner across Finance, Sales, and Contracts teams

EDUCATION AND EXPERIENCE:

  • Bachelor’s Degree in Business or related field required

  • 3-5 years Capital Contracts experience/knowledge required

  • 3-5 years proven experience with cross functional partnerships addressing/fixing process anomalies required

  • 1-3 years experience with process writing/creation required

  • 1-3 years Lean experience preferred

  • 1-3 years experience leading cross functional teams in a value stream setting preferred
