The Administrative Assistant- Regulatory Affairs Coordinator provides administrative and coordination for a number of Regulatory Affairs activities. The coordinator will support multiple managers within the regulatory affairs department and project managers. The coordinator will be responsible for managing multiple tasks on a daily basis. They will assist members of the regulatory affairs team to support compliance with global regulatory requirements and ensure project and department deliverables are met. The Administrative Assistant- Regulatory Affairs Coordinator will provide standard administrative support, assistance with tracking metrics and related data, as well as assisting in entry level regulatory affairs related tasks. Position is scheduled to end September 2022, but has potential to continue past the end date.
Essential Job Functions
Effectively manage multiple competing priorities and work in a fast-paced, regulated environment
Provide general administrative support for regulatory management by assisting with meeting planning, travel accommodations, expense report creation, and other supportive activities for a team of approximately 30 individuals as necessary
Assist in routing and approval process for purchase orders and ensure payment for outside vendors, consultants, customers, etc
Assist in routing and approval process for contracts of outside vendors according to internal processes and systems
Assist with creation and reporting of department and project related metrics
Assist with budget tracking activities
Assist with the collection of project related documentation
Assist with notarization, legalization and apostille process for regulatory documentation
Assist with UDI data element collection
Assist in auditing, editing and publishing of regulatory submissions
Work across full suite of Microsoft office software programs, Adobe, and multiple internal software programs/databases
Education and/or Experience
High school diploma or equivalent required. Associates degree or bachelors degree in business or technical area such as biology, chemistry, engineering or medical-related field preferred.
2+ years of general administrative support required. Experience in medical device, clinical research, or other technical industry preferred.
Physical Demands
While performing the duties of this job, the employee is regularly required to stand, walk, sit, and use hands to manipulate, handle or feel objects, tools, controls, and office equipment. The employee frequently is required to talk and hear. The employee is occasionally required to reach with hands and arms and stoop, kneel or crouch.
