Summary of position :

The ideal candidate will be responsible for collaborating with department Managers, Surgical Education Regional Managers, Surg Ed Coordinators, HCPs, Marketing, R&D, Sales, Regulatory, Finance and Compliance to ensure all associated responsibilities are successfully executed. This individual will be managing the planning, coordination and reporting of multiple surgeon education events (live and virtual), developing & implementing process improvements within the department and helping to ensure company objectives and compliance requirements are met.

Primary Responsibilities:

  • Responsible for leading the successful execution of assigned Surgical Education Events (both in-person and virtual) which includes, but not limited to: coordinating all event activities and related communications (i.e. attendee travel & accommodations, promotional materials, attendee notifications, e-mail campaigns, event documentation, samples, etc).

  • Collaborating closely with our Surgical Education Regional Managers and our surgeon faculty in the creation and/or updating of Surgeon presentations, loading them into Veeva as requested, responding accurately and timely to MLR requests, tracking status and following up when appropriate.

  • Responsible for tracking and reporting program attendance and ad hoc analysis and other reporting as needed.

  • Coordination of Surgical Education events associated with Medical Society Meetings, may include hotel, travel, meals and invoice processing (i.e. AHS, SAGES, ACS, AWR, etc.)

  • Share in the responsibility of managing the Surgeon Education database by effectively updating KOL information such as emails, phone numbers, addresses, billing info, CV's, headshots, biographies, etc.

  • Support any ad hoc projects that may present themselves within the scope of the position.

  • Travel of up to 20%

Education/Experience:

  • Bachelor’s degree preferred

  • Minimum of 3 years of solid experience in event planning, including site selection, hotel negotiating/contracting, BEOs, Attendee Travel, etc.

  • Previous experience in the coordination of professional education programs preferred

  • Proven track record or success in collaborating with internal and external customers

  • Experience with managing virtual events through various platforms

  • Experience with Veeva (or similar MLR software) is a plus

  • Capable of independently working in Microsoft Office, Excel, Word PowerPoint and other company and department software as required

  • Strong sense of initiative, ownership, and personal accountability

  • Attention to detail is paramount!
