BD (Becton, Dickinson and Company) Executive Assistant in Wroclaw, Poland
Job Description Summary
We are looking for an energetic and enthusiastic Executive Assistant to join our team. The role will support the smooth running of the Wroclaw Shared Services Centre, own site communications and report to the Site Director. The ideal candidate will be extremely organised, have the business acumen to priorities and deliver to competing deadlines. The role will provide full administrative support to the Site Director.
Main objective of role :
Proactively manages complex calendars with competing priorities to keep the Site Director abreast of meetings and tasks and to ensure he has the information necessary to effectively navigate through their daily, weekly, quarterly and annual priorities
Must be able to effectively communicate and appropriately represent the site and the Director
Schedules business travel and accommodations, and reconciles and maintains expense reports
Organizes, coordinates and attends staff meetings, and site wide meetings; program manage meeting agenda, minutes and action tracking
Manage the center dashboards and reports, including deviation analysis
Own site communications, intranet webpage and regular bulletins
Actively engaging and leading employee engagement initiatives
Extreme confidentiality and discretion a must; position handles highly confidential information on a regular basis
Working hours flexibility to deliver to event based support needs
Build credibility and respect amidst colleagues, management and external partners
Drive site level projects or specific rollout requirements
Few years of international corporate experience and strong business acumen
Excellent Time management and organising skills
Excellent networking skills, team-spirit and open attitude
Excellent written and spoken executive communication skills
Ownership and execution
Demonstrated ability to use sound, independent judgment in absence of leader.
Technology adept and well versed in office productivity applications
Proven inter-personal skills to work in a matrix organisation as a team player
Experience with diary management (scheduling meetings, follow ups etc.) and extensive travel bookings
Demonstrated competence of working at Executive management level.
Be of an investigative nature to increase effectiveness of tasks, problem solving mind-set
Demonstrate a pro-active nature with regard to project management
Excellent written and verbal communication skills
Work as a facilitator in improving site leader productivity
High level of professionalism blended with a sense of humour
Fluent English is a must
